These privacy-regulations are applicable to the processing of all personal details, that have in any way been given to AVOP B.V. Independent of the specific product offered to you, AVOP B.V. will store several different personal data.

What is the purpose of our processing your data?

We process your data in order to:

⦁ be able to execute and oversee the application of clients and others who assign us

⦁ initiate and maintain a relation that is focused on acquiring and executing assignments with clients and those who assign us

⦁ allow clients and others who assign us to use AVOP B.V. services, such as outplacement and/or career advice, coaching, reintegration, assessment, recruitment, organisational advice and other (work-related) services.

What data do we process?
This is information that you extend to us, i.a. personal details such as name, age, education or educational level, email, location, birth place, correspondence, answers to questionnaires, answers to open questions, test-scores and resumes.

Involvement and sharing with third parties.

As responsible party for proper execution, AVOP B.V. may require other parties to execute an aspect or specific part of the service for you; this may concern an external consultant, -trainer, or assessment psychologist, an external test-system as part of the assessment, the IT-system or -platform with which we carry out our services, for instance a CRM-system or E-learning platform. To the extent that these third parties are allowed access to personal data to execute their services, AVOP B.V. has applied the proper contractual, technical and organisational security measures to ensure that these third parties solely use or process your data for the intended goals and do so in line with the instructions that we and these third parties have agreed upon.

Assessment candidates

For every assessment candidate, a file is being created. In it, all reports pertaining to the candidate will be included. Also included in the file: personal data, short conversational notes, correspondence with and from candidate, instruments applied. The files are only accessible for AVOP employees, since this is vital in terms of the execution of their role. To ensure proper administrative follow-up, personal data and process reports will also be included into the client system. These data are solely accessible for AVOP employees, when necessary for the execution of their role.

At the start of the trajectory, the candidate will be informed by AVOP about what agreements have been made about reporting: to whom, what information, in which way (written/verbal), with which objective and what time-frames. AVOP does not report on the content of conversations or information that can be looked upon as confidential.

Each written candidate report for a client will be sent to the candidate for approval, prior to allowing the client/employer to see it. Only after the candidate has given his or her written consent, will the information be sent.

Retention period for documents on file

AVOP B.V. will store your data no longer than is strictly necessary for the purpose to which end the info has been gathered. The retention period depends on the nature of the information and the goals of processing this data.
After the assignment has come to an end, AVOP B.V. will hold on to your file for a period of two years. After these two years, your file with personal data will be removed, so your reports with test results will no longer be available. After this period, you will no longer have the right of insight or provision of the file, since the file will no longer exist. To the extent that personal data is included in a fiscal retention obligation, a period of 7 year is applicable.

Confidentiality

AVOP B.V. and her employees are always bound to confidentiality of all knowledge that originates from the professional actions, providing they are confidential in nature. Confidentiality also pertains to the professional judgement about you, and of the consultant. This confidentiality will remain, also after finalising the tasks of the assignment.
